What an invoice should include
A clear invoice gets paid faster and avoids queries. The main parts are:
Business and customer details
Your name or company, address, contact details and any tax or company number, plus the customer’s name, company and address. Some countries require a tax ID on tax invoices, so check your own rules.
Invoice number, dates and reference
A unique invoice number, usually in sequence, lets both sides track it. Add the issue date and a due date, and a purchase order or project reference if the client uses one.
Products or services
One line per item with a description, quantity and price. Specific descriptions such as “Logo design, 3 concepts” cause fewer disputes than “Design work”.
Taxes, discounts and payment terms
Show the tax name and rate, any discount, and the total due. Add payment details such as bank account or payment link, and terms such as late fees, in the notes or terms boxes.
How the totals are calculated
The subtotal is the sum of quantity × price for each line. A discount, as a percentage or a fixed amount, comes off the subtotal, and tax is charged on what remains. Shipping is then added after tax and is not taxed, so include taxable delivery as a normal line item instead.
For example, lines of 450, 120 and 62 make a subtotal of 632. A 10% discount of 63.20 leaves 568.80. VAT at 20% adds 113.76, and 8.00 of shipping brings the total to 690.56. If the client has already paid 300, the balance due is 390.56.
If your prices already include tax, tick “Prices already include tax”. The same 568.80 then contains 94.80 of tax, and the total with shipping is 576.80. To check a tax-inclusive price yourself, use the VAT calculator.
Draft, unpaid, paid, overdue and partly paid
Set the status yourself to match reality: Draft, Unpaid, Paid, Overdue or Partially paid. Paid and overdue invoices show a stamp, and for a partial payment you enter the amount received so the balance due is worked out. The status is not changed automatically when the due date passes, so update it when you send a reminder.
Templates, colours and branding
There are ten layouts, from a plain classic style to a narrow receipt, eight ready-made colour themes, and a colour picker for the accent, header, text, table, stripes, panel, lines and paper. You can choose from five fonts, upload a logo and a signature, and rename labels such as “Bill to”. Some fonts load from Google Fonts, but the content of your invoice is not sent anywhere.
